CIS Media Rooms

CIS maintains and schedules two 31-seat classrooms (Kuykendall 207 & 208) and one 196-seat auditorium (Kuykendall 101) for occassional bookings by classes requiring media usage.

These media rooms are equipped with the latest technologies, including a data projection system, VHS, DVD players; PC Computers; or, faculty may bring in their own computers. All rooms have full Internet access. The three classrooms are connected to the Campus Television System.

Call 956-8075 for reservations. More than five bookings at a time are requested in written form.

Eligibility - The CIS-scheduled classrooms in Kuykendall Hall are intended for use by UHM credit courses requiring access to instructional technology equipment not readily available at their assigned classroom sites. University offices may schedule these rooms on weekdays on a space-available basis for non-instructional, university-related functions, provided that a need for the equipment exists.

Weekend Use - No weekend or after-hour use.

Student Organizations - Registered student organizations are eligible to use the CIS media classrooms and auditorium as long as they are scheduled through their faculty advisor. CIS is not required to provide staff to support student activities after hours.

Scheduling Procedure - Rooms may be booked by phone or in person in the main CIS office (Kuykendall 107, 956-8075). Only faculty (including teaching assistants) and staff are eligible to schedule rooms; bookings may not be made by students.

Booking in Advance - Rooms are scheduled on a first-come, first-served basis. Classroom scheduling in advance is not required but is very strongly recommended because of heavy demand for these facilities. Rooms may be scheduled to the end of the semester.

Multiple Simultaneous Bookings - Customers scheduling five or more events simultaneously may be asked to submit their booking requests in writing. This policy enables the CIS staff to make room assignments in off-peak work periods.

Customer Data Sheet - All first-time users of the media classrooms must complete a Customer Data Sheet providing name, campus address and phone, department/office affiliation, and faculty/staff status, for entry by CIS staff into the Center's computerized database.

Limitations on Scheduling - Because of heavy demand, customers will be limited to the number of reservations per semester per course, in CIS-scheduled classrooms.

• Courses that meet 3 times per week, maximum 15 bookings per semester.
• Courses that meet 2 times per week, maximum 10 bookings per semester.
• Courses that meet once per week, maximun 8 bookings per semester.

Exceptions must be approved by the CIS director and will be granted only in unusual circumstances. This policy is intended not to discourage the use of instructional technology but to ensure that the facilities are accessible to all. The Center will make every effort to find alternative arrangements for customers whose need for media equipment exceeds the classroom booking limit.

Scheduling of Entire Courses - The 15-class period per semester limit does not apply to courses that meet weekly. Requests to schedule entire courses meeting weekly into the CIS-scheduled media classrooms will not normally be approved. Exceptions are occasionally made for courses that meet at low demand periods. Under no circumstances will entire courses with multiple meetings weekly be scheduled into a CIS media classroom.

Media-Intensive Courses - CIS has placed video playback equipment, computers, overhead, slide and film projectors, and other technologies in a variety of general use classrooms across campus. Instructors of media-intensive courses should request assignment to these classrooms on a semester basis.

Key Checkout - For bookings that begin after 7:45 a.m. and end before 4:30 p.m. on normal workdays, customers must pick up the keys to their assigned classrooms in the main CIS office, Kuykendall 107. Keys must be returned promptly to the CIS office at the end of the scheduled period so they will be available for the next users. Customers are responsible for the keys in their possession. Lost keys may result in stolen equipment.

Early Key Checkout - Customers may pick up classroom keys any time after the beginning of the previous class period, as long as the facilities have not been scheduled by others during that time.

Key Checkout by Students - Instructors scheduling CIS media classrooms may authorize students to pick up the keys.

Technician Assistance - The CIS media classrooms are provided on a self-service basis. However, CIS staff members are available at any time to demonstrate equipment operation or other room features.

Smoking, Eating, and Drinking - Smoking, eating, and drinking are prohibited at all times in CIS media classrooms. Customers are responsible for ensuring that this policy is rigidly enforced.

Air Conditioning - The Kuykendall Hall air conditioning is normally on during weekday bookings.
